Legal Support Specialist

Position Summary – Part Time or Full Time


Meliora Law is seeking a highly skilled Legal Support Specialist to join our dynamic and growing firm as a full-time or part-time Legal Support Specialist. The Legal Support Specialist will provide administrative and professional support to Meliora’s practice groups, working closely with our attorneys on project management and practice group initiatives. 


Responsibilities will include providing support and assistance with business development and marketing initiatives, managing project and administrative workflow, preparing and editing legal documents, and preparing for closings and document signings. Legal Support Specialists assist with general administrative needs, project management (including managing project task lists, due dates and calendars), and communicating and coordinating with clients. Candidates must be detail oriented and demonstrate professionalism, excellent organizational and communication skills, and be able to handle multiple projects and priorities independently.

Responsibilities


  • Assist in the creation, editing, proofreading, and processing of legal documents, letters and client communications.
  • Manage projects through firm technology and resources, such as TEAMS Planner, shared and individual Outlook calendars, NetDocuments and Clio.
  • Monitor project tasks, assignments and closing checklists to ensure that legal projects are proceeding efficiently and in accordance with established deadlines, including implementing reminder and calendaring systems.
  • Participate in project group meetings as requested.
  • Receive, evaluate and triage telephone and email communications from clients and others. 
  • Provide attorney and client-facing administrative support, such as processing time entry, handling all aspects of meeting and travel arrangements and preparation, processing reimbursement expenses, maintaining attorney      calendars, and other administrative duties. 
  • Manage intake process for potential clients, including assistance with conflict checks, information collection, and consultation scheduling.
  • Organize and maintain legal files in accordance with firm policies and procedures.
  • Collaborate with paralegals and other legal support team members.
  • Assist with overflow work and other projects as needed.


Qualifications


Skills & Competencies

  • Proactive, highly responsive, and independent in effectively and efficiently managing workload with minimum supervision.
  • Strong attention to detail, organizational skills, and ability to manage time and work effectively.
  • Ability to manage and adhere to deadlines and project schedules.
  • Strong written and oral communication skills.
  • Experience handling administrative tasks such as attorney time entry, travel arrangements, and calendaring.
  • Ability to prioritize and manage multiple tasks and assignments.


Education & Prior Experience

  • Bachelor’s Degree or equivalent experience preferred.
  • 5+ years of legal assistant or legal secretary experience, or 5+ years of paralegal experience required.
  • Notary public certification strongly preferred.
  • Experience in a fast-paced law firm environment is strongly preferred.


Technology

  • Proficiency with Microsoft Word, Excel and Outlook, as well as Adobe Acrobat required.
  • Proficiency with NetDocuments and Clio strongly preferred.
  • Experience with Wealth Counsel preferred.


Expected pay range as of this posting: $28.00 to $38.00 per hour.

Actual pay rate will be based on experience, qualifications and skill level. Meliora Law provides full time employees with a competitive benefits package including payment of 85% health insurance premium for zero-deductible health insurance, Simple IRA, short term disability, long term disability, dental insurance, vision care, life insurance, paid time off, and an employee assistance program. Employees may be eligible for a discretionary end-of-year bonus.

Paralegal

Meliora Law is seeking an experienced Paralegal to join our dynamic and growing firm’s Trusts and Estates and Corporate Practice Groups as a part-time or full-time paralegal. Responsibilities will include drafting, reviewing and revising estate planning and corporate documents, preparing for document signings and closings, and managing business formations and filings. Candidates must be detail oriented and demonstrate professionalism, excellent organizational and communication skills, and be able to handle multiple projects and priorities independently.

  • Prepare and proofread various estate planning documents, such as wills, trusts,  powers of attorney, health care proxies, advance directives, and other similar documents.
  • Prepare closing checklists and ancillary documents for corporate transactions.
  • Assist with closings and estate planning signings.
  • Assist attorneys with client intake processes including data collection and preparation for initial consultation meetings.
  • Monitor project tasks, assignments and closing checklists to ensure that legal projects are proceeding efficiently and in accordance with established deadlines, including implementing reminder and calendaring systems.
  • Assist with estate administration and other court filings.
  • Prepare and distribute closing binders and final estate planning documents.
  • Assist with overflow work and other projects as needed.


Qualifications

  • Ability to communicate with attorneys, support staff, and clients professionally and efficiently. 
  • Outstanding written and oral communication skills.
  • Strong attention to detail, organizational skills, and ability to manage time and work effectively with minimum supervision.

Education & Prior Experience
